How to reserve a desk

Open the mobile app > tap the Office tab in the bottom navigation bar.

Pro tip!

Create your "favorites" first on the People tab so you can see when they're in the office and where they're sitting on the map.

Tap a desk to book it for "right now" or tap the calendar & clock icons to adjust the date/time, including multiple-day reservations (if your office supports hotel desks).

A few things to keep in mind, 

  • Strike-through dates = you don't have permission to use the office or the office is closed that day. Reach out to your office admin if you need further assistance.

  • Assigned seats automatically follow your set office hours, the time or duration can't be adjusted.

Note, if your office doesn't use maps you'll see a list view

 

Are all the desks on your map faded out and unresponsive?

This means you don't have office access for that day or the office is closed and you'll see a message at the bottom suggesting a day you do have access.

(Optional) Add filters.

Tap the filter icon to find a desk with special equipment or amenities, such as a monitor & phone.

Tap a desk for the desk details and the option to reserve it.  

  • Green desks = Reservable
  • (/) slashed desk = Made unavailable by an admin
  • Dark grey desks = Occupied

Share your desk reservation with a co-worker using the app of your choice or tap Dismiss.

  • If your office uses the health checkpoint survey then the survey will automatically open if you made a reservation that starts within the active survey window. (captured below)
  • If your office requires desk check-ins and you book a desk within the confirmation window, your reservation will automatically be confirmed.

Reserving a desk using the list view 

Every office is set up differently in Robin and you may see a list view instead of a map view. Both UI's are easy to use for workplace reservations.

Open the mobile app and tap the Office tab.

Tap the desk tab at the top.

Use the menu at the top to change the building, floor, date, or times, including multi-day reservations.  Strike through dates indicate days that you don't have permission to use the office or the office is closed.

You'll see a list of desk pod names and the number of available desks in each pod. Tap any blue + icon to see the desk details and the option to reserve it.

Tap Share to send a co-worker a link to your desk reservation so they book a desk near you or tap Dismiss.

How to edit a desk reservation

Locate your desk on the office map.  Look for a red "Your desk" marker and tap your desk to open the reservation module.

Note, if your organization doesn't use Robin maps, tap your desk from list of desks instead.

Tap Edit reservation, then use the drop-downs at the top to edit the date, time, or floor. Note, that you can only add or remove dates for multiple-day reservations.

Tap Update reservation and a confirmation message will appear.

How do I look up my reservations?

From the Pass tab, tap View all reservations and then tap a reservation to open the details and for the option to make changes.

How to reserve a space

Open the mobile app > tap the Office tab in the bottom navigation bar.

Tap the date & time fields to see what's available.

A. To create a recurring meeting, open the calendar module & toggle on the "Book multiple days", then tap the dates you need. 

B. To optimize your search use the amenity and capacity filters. For example, if you know need a space that can fit 5 people +  video conferencing abilities, narrow the search results to those which meet your criteria by adding filters.

C. Need to switch floors or buildings? Tap the floor & building drop-down in the top left corner.

Tap on a green space for more details and for the option to book it (i.e. scheduling policies set by your office admins).

Tap Book & enter your event details such as inviting teammates, adding video conferencing links, and more.

View your scheduled events

1. From the Pass tab, tap the calendar icon in the top right corner.

2. Tap an event to open the module where you can:

- See meeting details

- RSVP

- Edit the event if you're the organizer
