Set up and manage arrival displays

Set up and manage arrival displays in the web dashboard so guests can register and check in on their own.

What an arrival display does

An arrival display helps you welcome guests to the office and still collect the data you need. Set one up in your office lobby or receptionist area so guests can register and check in on their own.

After a guest checks in, the host gets an email that says their guest has arrived. If your organization requires NDAs or other documents, you can add the documents to the visitor check-in process. The guest then must "Agree to the terms" on the arrival display.

Set up an arrival display

Guests use the arrival display to register when they arrive and to check in for a pre-registered visit.

  1. In the web dashboard, go to Manage > Devices.
  2. Select Add a device in the right corner.
  3. Select Arrival Display.
  4. Select the Building.
  5. Enter a Name for the display.
  6. To let impromptu visitors register when they arrive, turn on Allow guest self-registration.
  7. Select Add display. Robin shows a pairing code.
  8. On the iPad you use as the arrival display, install the Robin Arrivals app from the App Store.
  9. Open the app and enter the pairing code. The iPad pairs with Robin.

The pairing code expires in 24 hours and works for 1 display. If it expires, select Edit next to the display, open the Pairing tab, and select Renew pairing code.

If you cannot use the iPad app, open arrivals.robinpowered.com in a web browser on the display and enter the code there. The pairing screen in the dashboard links to it under Or use a browser, with a copy button for the link.

Arrival display best practices

Use an iPad for the best results. Any tablet or computer with a responsive web browser also works.

Lock the display to a single app: Robin Arrivals, or a web browser such as Safari if you use the web option. On Android tablets that run Android 5.0 or later, screen pinning locks a selected app to the display. On a Kindle Fire, parental controls restrict access to certain apps, including the Amazon app store. For more control, use 3rd-party apps.

If you use the web option, set web content restrictions in the browser. The display opens the Robin arrival portal in a web browser, and restrictions stop people from browsing outside the Robin guest portal. See Apple support for web content restrictions.

Manage arrival displays on the Devices page

The Devices page lists all the devices in your office, including room displays, status boards and badge printers. It shows the status and location of each display.

To turn on guest self-registration for an active display:

  1. In the web dashboard, go to Manage > Devices.
  2. Select the Arrival Displays tab.
  3. Select the display name to open its settings.
  4. Turn on Allow guest self-registration.
  5. Select Save.
