Before you start: The Analytics AI assistant requires Advanced Analytics and the “Create & manage custom dashboards” permission.
The Analytics AI assistant answers questions about desk usage, space usage and people. Ask a question in plain language, and the assistant answers from your workplace data.
The assistant uses this data:
- Desk utilization across your full history, including assigned and flex desks with a check-in policy enabled
- Space utilization across your full history
- People inventory
Open the Analytics AI assistant
Go to Analytics in the web dashboard. The assistant is the first page you see.
Use the Analytics AI assistant
Chat with the assistant to get data about desk usage, space usage and your employees.
The basics
Here is how a chat works:
- Type your question in the chat window. Press Enter or select the pink arrow to send it.
- The assistant suggests matches as you type.
- Each chat session lasts 8 hours. Then it ends.
- To clear the context and start over, select New Chat & Browse Topics.
Questions the assistant can answer
Here are examples of questions you can ask:
- Which departments book the most desks in a given building?
- Which days of the week does [employee name] book the most desks?
- Which meeting rooms had the fewest meetings last year in a given building?
- What are the names of my buildings?
- List all my buildings and the number of desks in each.
- How far in advance do people book desks in a given building?
Tips for better answers
Use these tips to get better answers from the assistant.
Be specific
Give clear, short instructions. Name the building and time range. Spell people’s names correctly.
For example, do not ask “What is my office usage?” Ask “What was desk usage at 11 Farnsworth over the past 90 days? Calculate it as total desk reservations divided by total desks available.”
Use step-by-step instructions
Break complex tasks into smaller steps.
For example, “Which meeting rooms have the most recurring canceled meetings? For the top three, list the meeting owners and titles.”
Give context
The more context you give, the better the answer.
Request adjustments
If the answer is not right, ask for a revision.
For example, “Can you give an alternative that excludes flex desks?”
Ask for clarification
To understand a complex answer, ask how the assistant reached it.
For example, “How did you define utilization?”
