Manage visits with the visitor log

The visitor log keeps track of the information about each visit to your office and lets you manage the visit. Use it to:

  • See who is invited to the office (Status: expected)
  • See who visited the office (Status: checked-in)
  • See why they visited the office (Visit type)
  • See the visitor's host
  • Check visitors in and out
  • See what time a visitor checked in or out
  • Edit a visit
  • Print a visitor's badge

Filter and sort the columns

Filter and sort the columns to find specific information.

Export the visitor log

To download a visitor log for your records, select the desired date range and select Export CSV. Exports are available per building for up to 1 year in the past.

Check guests in and out

To check guests in and out by hand, select Check in/out in the visitor log. This makes the check-in faster for the reception desk and for visitors.

Only hosts with "Guest management" permission can check out guests.

Print a visitor's badge

Select the printer icon next to a registered guest to print their badge. This makes the check-in faster for the reception desk and for visitors.

Edit a visit

If a visit is not checked in or out, you can edit it. Select the edit pencil icon on the log or the edit button in the visit details module.

Robin emails the host and the guest about the changes:

Cancel a visit

If a visit is not checked in or out, you can cancel it from the visitor log or the visit details module in 2 ways:

  • On the Visits log, select the trash can icon next to the registered guest, then select Yes, cancel visit.
  • Select the guest name on the Visits log to open the details, then select Cancel visit > Yes, cancel visit.

Robin sends a cancellation email to the host and the guest. This is an example of a guest email notification:

Guest data

Robin keeps guest data (name, email address and so on) for 1 year after a guest's last visit date. After that, Robin de-identifies and aggregates it.
