The visitor log makes managing office guests painless. It keeps track of all the necessary information about a visit and allows you to manage the visit, including:
- Who's been invited to the office (Status: expected)
- Who's visited the office (Status: checked-in)
- Why did they visit the office (Visit type)
- View the visitor's host
- Check visitors in & out
- View what time a visitor checked in/out
- Edit a visit
- Print a visitor's badge
Filter and sort the columns
You can filter and sort columns to quickly find specific information.
Export the visitor Log
If you need to download a visitor log for your records, select the desired date range and click Export CSV.
- Exports are available per building for up to 1 year in the past.
Check guests in and out
You can also use the visitor log to manually check guests in and out by selecting Check in/out. This helps to streamline the check-in process for both the reception desk and visitors.
Note: Only hosts with "Guest management" permission can check out guests..
Print a visitor's badge
Click the printer icon next to a registered guest to print their badge. This helps streamline the check-in process for both the reception desk and visitors.
Edit a visit
You can edit a visit if it has not been checked in or out by selecting the edit pencil icon on the log or the edit button in the visit details module.
The host and guest are automatically notified via email of the changes made:
Cancel a visit
You can cancel a visit from the visitor log or the visit details module if it has not been checked in/out:
A. From the Visits log, select the trash can icon next to the registered guest > Yes, cancel visit.
B. Select the guest name on the Visits log to open the details > Cancel visit > Yes, cancel visit.
A cancellation email is sent to both the host and the guest. Below is an example of a guest email notification:
Guest data
We retain guest data (name, email address, etc.) for one year after a guest’s last visit date. It is de-identified and aggregated after that time.
Note: On April 27th, 2023, guest data retention changed from 90 days to 1 year. Therefore, any guest data before January 27th, 2023, was already de-identified.
