Set up automated desk check-ins with Wi-Fi

Set up automated desk check-ins with Wi-Fi so employees on the office Wi-Fi check in automatically. When they open Robin in the mobile app, the web dashboard or the Outlook add-in, Robin checks them in or creates an in-office status for them through their network connection.

Warning

Wi-Fi check-ins do not work with a VPN or with products that mask user IP addresses.

Configure automated check-ins

Robin uses your office building's IP addresses to detect when an employee arrives. As an admin, turn on this feature and add your office IP addresses:

  1. In the web dashboard, go to Manage > select an office to open the settings page.
  2. Select the Check-in tab on the building settings page.
  3. Toggle ON the "Wifi check in" setting.

  4. Add your office's public IP addresses. You can add up to 20 IP addresses, separated by commas. See the requirements for the building's IP address.

  5. Select Save IP address.

Requirements for the building's IP address

The building's IP address should meet these requirements:

  • Use the IP address you get on the Wi-Fi at that location. To find it, connect to the Wi-Fi at the building and go to https://ipecho.net/plain. Check with your IT team for other possible IP addresses, such as backup connections and ranges.

  • The IP address should be publicly routable. Do not use private addresses such as 192.168.1.100 or 127.0.0.1.

  • The IP address should be static. Business internet connections usually have static IP addresses. A dynamic IP address can change. You might be able to use one, but you must keep Robin up to date when it changes.

  • Employees should not be able to use the IP address from home, for example through a VPN on their phones. Otherwise, Robin checks them in automatically when they are not in the office.

  • You can use CIDR ranges up to /16 for IPv4 and /48 for IPv6. Robin sets this limit because larger ranges are probably a mistake. The limit can easily be changed.

  • You can add up to 20 distinct ranges or IP addresses per building, for the same reason.
