Create meeting room calendars in Microsoft 365

Meeting room calendars stand for the physical rooms in your office. When you create these calendars and add them to your organization's address book in Microsoft 365, people can reserve rooms in both Outlook and Robin.

Create your rooms in Microsoft 365

This video shows the steps:

  1. Log in to your Office web portal with the administrator credentials for your company's account.
  2. Select "Admin" from the list of apps.

  3. Select the Equipment icon on the left, select "Rooms & equipment", then select the + to add a meeting room.

    Variations on the admin panel in Office 365

    If you do not see the Equipment icon in the menu on the left, you may run Office 365 for Small Business or another variation. The setup process is a little different. See Microsoft's guide to resource mailboxes.

  4. Fill in your room details.
  5. Select "Set scheduling options" to confirm that the room automatically accepts meeting invitations when it is available. This is the default.

  6. Repeat these steps to create a room for each bookable space in your office.

You now have room calendars to pair with Robin.
