This guide explains how to book a meeting room directly from the room display, either by scanning a QR code or using the display's controls. These methods offer flexible options for reserving a space for your meetings, whether planned or spontaneous.
Book a room using a QR code
If you're standing in front of an available meeting room and want to use it, you can quickly book it by scanning the QR code on the room display. This method allows you to reserve the room for a new or existing meeting on your schedule using the Robin mobile app.
- Scan the QR code on the room display with your smartphone.
- If you have the Robin mobile app installed, it will automatically open to complete the booking. If you don't have the app, you will be redirected to your device's app store to download it first.
- Follow the prompts in the Robin mobile app to select your meeting details and confirm the booking.

If you scan the QR code and you don't have the Robin mobile app downloaded yet, it will bring you to your device's app store to download the app first.
Book a room using the display buttons
Some offices allow anonymous, on-the-fly room bookings for meetings directly from the display using the interface buttons. These bookings are considered anonymous because the display cannot identify who booked the room; thus, the meetings are not linked or visible on your user calendar, only on the room calendar.
- To instantly book the room on the fly for "right now", tap the desired meeting duration from the available options in the center of the display.
- To book the room for a later time that day, use the schedule on the right to see what's available.
- Tap an available time on the schedule. You can also adjust the meeting time using the plus and minus buttons.
- Tap the desired meeting duration from the options to book the room.
