Sharing view-only scenario desk planning drafts

Ways to share a draft

Share seating arrangement drafts across your organization in view-only mode, or export a draft as a CSV. Leadership teams can then collaborate on, review and approve drafts without the risk of unintended edits.

Share drafts in view-only mode

  1. In the web dashboard, go to the Map tab > Edit floor menu.
  2. Select the Assignments-Scenario planning tool to find your draft.
  3. Select the draft you want to share. select a draft.gif

  5. Search for colleagues by name or email and add them. User role permissions control who can view and who can edit.Screenshot 2024-11-12 at 2.29.41 PM-mh.png
  6. Select Invite to send an email invite, or select Copy link to share a link with coworkers. Only users with access to view or edit this draft can open the link.Screenshot 2024-11-12 at 2.40.05 PM-mh.png

Each person gets an email notification with a link that opens the draft in Robin. The email looks like this: Screenshot 2024-11-12 at 2.42.12 PM.png

To send an email invite again, open the Share menu > select the 3 action dots next to the person's name > Resend email.

Export draft as a CSV

Export your proposed desk assignment changes as a CSV file to share with stakeholders, such as third-party movers and facility managers. The export includes these details:

  • Building
  • Floor
  • Assignee's first and last name
  • Previous (desk) location
  • New (desk) location

To export a draft:

  1. In the web dashboard, go to the Map tab > Edit floor menu.
  2. Select the Assignments-Scenario planning tool to find your draft.
  3. Select the draft you want to share. select a draft.gif
  4. Select the 3 action dots in the top ribbon.
  5. Select Export CSV.

Robin downloads a CSV file to your device.

Share drafts with edit access

If the person you share with has view-only access and you want to give them edit access, change their user permissions under Manage > Roles.

The person needs these permissions:

  • Assign Desk permission for the building or floor
  • Desk Delegation permission

All users who collaborate on the same draft see the same queue and can work on it at the same time.
