Exporting workplace data

Export workplace data from Robin Analytics to measure and improve how your workplace is used. This article lists the exports in Analytics and shows how to download them. Each section links to a PDF that explains the fields in that export.

Badge data shows in exports as a desk check-in, as office presence, or as both.

Analytics has these exports:

  1. Open the web dashboard and go to Analytics in the top ribbon.
  2. Select Exports on the left.
  3. Select the export type from the drop-down menu.
  4. Select the campus, the building or both to pull data from.
  5. Select the time frame from the drop-down menu, or select a custom range of dates in the calendar. For a custom date range:
    • You can select dates up to 90 days ahead and up to 90 days back. Advanced Analytics customers can access unlimited historical usage data.
    • The data is stored in UTC. Robin recommends that you add 1 extra day at each end of the date range, so the export includes all data for your time zone.
  6. Select the data fields to include in your export.
  7. Select Email CSV. You get an email with a link to download the report. The link expires after 24 hours. The email looks like this:

  8. Select Download File. The file downloads to your browser.

Common Pitfalls

The data is stored in UTC. Robin recommends that you add 1 extra day at each end of the export date range, so the export includes all data for your time zone.

The Activity summary

See the data collected in the Activity summary export.

The Activity Summary is a people-first export. It helps answer questions such as:

  • “Which teams/departments are coming in the most?”

  • “What are they using/doing when they’re here?”

  • “How often is Bob coming in? Do they need an assigned desk?”

  • “26% of reservations are unconfirmed. Is that spread evenly across the team, or is it always the same people who do not check in?”

  • “Who is not interacting with the office(s) at all?”

  • “Who is choosing to join the office without a desk?”

Notes about the Activity Summary:

  • It includes the number of times employees with an assigned desk set their work status to "In office."

  • It includes the number of times employees without a desk reservation set their work status to "In office."

  • Events and reservations that someone canceled manually are not in the Activity Summary.
  • It includes all users in your organization, even users with no reservation in the time frame or building you select.

  • The location field is empty when the person has no activity in “All buildings”, or no activity in the building you select, in the time frame.

  • When a person has reservations in more than one location, the summary has 1 row for each location.

  • Assigned seats count for every day, including weekends and holidays.

  • The “desk check-ins” count leaves out “Not coming in” replies to a desk reservation or assignment.

The Space export

See the data collected in the Space export.

The Space export is a log of all events scheduled in Robin spaces in your organization during a time range you set. It also has event metadata. Use it to analyze how spaces in your organization are used over time.

An event can be canceled in these ways:

  • Synced: Someone canceled the event on the remote calendar, and the canceled event synced to Robin.

  • Automatic: Robin canceled the event automatically through abandoned meeting protection.

  • Manual: The API or an end user in the Robin Dashboard canceled the event.

  • Synced Deletion: Someone removed the event from the room's resource calendar, and Robin counts it as canceled.

Event creator and event host

The event creator is the person or calendar account that created the meeting. The event host is the person or calendar account that owns the meeting. Usually the creator and the host are the same.

They can differ when an admin creates a meeting for someone else, and sometimes when someone books through Robin.

The Desk export

The Desk export gives details about desk use in the workplace, including desk check-ins and cancellations.

The People export

See the data collected in the People export.

The People export shows when someone was in the office, based on their desk reservations or assignments. Enter the user's name to export their desk reservations for the time range and location you select.

To see who else booked a desk on the same days in the same building and floor, select Include nearby people. The export then shows who sat near that employee.

The People Roster export

See the data collected in the People Roster export.

The People Roster export shows who uses Robin in your organization. It also shows their user attributes, such as default building, groups, roles and departments.

Use this export to track:

  • When users were created

  • Who has and has not accepted their Robin invitation

  • Which users are still active

  • Which users are disabled, and when

The Workplace Presence export

See the data collected in the Workplace Presence export.

The Workplace Presence export lists all employees who said they were coming into the office, with or without a desk reservation. It also lists people with no reservation whom Robin detected in the building.

This export helps show exactly who was in the office on a given day. It includes badge swipe data if your badge system is integrated with Robin.
