Use Robin in Microsoft Teams

With the Robin app for Microsoft Teams, you can view your schedule, book a space, see who is going to be in the office, and plan your week. You also get timely notifications about flexible desks and meeting rooms in Teams.

Get started

First, connect and authenticate your Robin user account with your Microsoft Teams account.

  1. If an administrator installed the Robin app for you, it should show in the pinned sidebar. If you do not see the Robin app in your sidebar, search for it in your app section.
  2. Select Add to install the app to a chat.

  3. Send a message to the Robin user in the Teams app. Robin asks you to log in.
  4. Select Sign in to Robin and follow the login prompt. You get a notification after you sign in.

Plan your week

  1. Open the Robin app in the sidebar of Microsoft Teams. If you do not see it in your sidebar, your administrator has not installed the Robin app for you.
  2. Go to the Schedule tab at the top. The schedule view opens. Here you can schedule office visits, book a desk, book a space, and change your plans.

  3. To let others know you are going to the office, select Join office in the drop-down menu.
  4. If you need a desk for your office visit, select Book a desk.
  5. A map of your preferred office opens in Teams. Use the menu at the top of the map to set the reservation time, then select a desk to book it. Screenshot_2023-05-03_at_4.35.18_PM.png

Book a space for an upcoming event

In the right sidebar, Robin suggests spaces for your upcoming meetings that do not have a room booked. Select Add to event, or select Find another to use the office map to find another space for your event.

Use the Robin bot

To open the Robin bot, open the Robin app from the overflow tool menu below the chat box, or from the overflow menu on a message.

You cannot @mention the bot

You cannot start the messaging extension by @mentioning the bot.

Sunsetting commands

As part of a new Teams experience, Robin is removing these previous Teams commands:

  • Where is [person]: Finds where a person is sitting
  • Where is [space]: Gets space details
  • Free at [location]: Gets meeting room availability for a location

Example: Who's coming in [select location]

After you select the "Who's coming in" command, the Robin bot asks you to select an office location from the drop-down menu.

The Robin bot shares a digest of who is going to that office that week. It looks like this:

Select Update your plans to see a detailed list of everyone who plans to go to the office each day, with the option to join them. Join takes you to Robin, where you finish your plans.

Meeting reminder notifications

You get a notification for every upcoming event. If you are the organizer and the event is attached to a space, you also see an option to confirm.

Set your notification preferences

After the Robin app is installed, you can choose which Robin notifications you get in Teams.

In Teams, open the Robin app and go to the Settings tab. Use the toggles to turn the notifications on or off.
