Manage office buildings and campuses

In Robin, Buildings organize similar collections of spaces. For most organizations, a building is a single office address or location. For example, if your company is in more than one city, you might have separate buildings for "East Coast HQ" and "West Coast Outpost". Employees can then search for workplace resources nearby, and not filter through the whole organization.

Global admins manage the organization's buildings from Manage > Offices in the web dashboard. Local office admins manage the buildings where they have admin permission from the same page.

Edit your building's details

Hover over a building and select the edit pencil on the right to open the details module. There you can add details about each office building and put the building in an existing campus.

How Robin uses your address

When you add an address for your office, the mobile app uses it to find out when people are in the office, with infrequent GPS updates.

Best practices before you delete an office building

Before you delete a whole office location, remove all the resources in the building first. This prevents problems later.

  1. Remove any connected room displays from spaces.
  2. Delete all the spaces and desks on each floor with the Layout tool before you delete the building. Go to the Map tab > Edit floor button on the map > Layout. Drag your cursor across the floor plan to select all the desks and spaces, then press Delete on your keyboard. Do this for each floor in the building.

When you delete a desk or space, Robin deletes all past, current and future reservations or assignments for it. The data for the deleted resources no longer shows in desk and space exports.

Delete an office building location

  1. Go to Manage > Offices > select the building > Edit.
  2. At the bottom of the building details module, select Delete.
  3. As a precaution, Robin asks you to enter the building name exactly as it shows. Enter it to delete the building.

Set the office hours and schedule

Admins edit the office's working hours in Manage > Offices > Building > Edit.

In the module, use the toggle and drop-downs to set the days the office is open and the hours for each day of the week.

Block bookings when the office is closed

Employees can still book desks and spaces when the office is closed, unless the "Restrict reservations to working hours" setting is on. On standard office closure days, the "Restrict reservations to working hours" setting blocks users from booking spaces and desks. For custom office hours, the "Restrict reservations to working hours" setting blocks users from booking desks only, not spaces.

You find these settings on the building settings page or the space settings page, in the scheduling policy and desk policy sections. Robin shows a warning message, as you see below.

Set custom office hours

Use the custom hours tab to set office closures for specific dates or times, such as holidays or deep cleaning days. You can also extend or shorten office hours on any day, for after-work events or half days in the office. For custom office closures, the "Restrict reservations to working hours" setting blocks only desk bookings, not spaces.

  1. Select Add date and select a date.
  2. The closed setting is the default. To add custom open hours, such as longer office hours for a special event, turn the toggle to open.
  3. For office closures, you can add a reason for the closure.

Changes to office hours show throughout Robin

On days the office is closed, the calendar module shows a strikethrough. When you select a day the office is closed, a banner at the top shows a link to more about the office hours.

Edit your timezone

Admins edit the timezone of each office on the same dashboard page (Manage > Offices > Select building > Edit).

Add more buildings

Many teams try Robin in a single location first, then expand to their other offices. To add another building, select the Add Building button in Manage > Offices.

Use campuses

Campuses are available for Enterprise plans.

To add a campus, select the Add Campus button in Manage > Offices. After you name your campus, add buildings to it. Select the campus and select Add building or Assign an existing building.

Users should set their default office building in their profile settings.
