Space Insights: Space check-in dashboard

The Space Check-In dashboard shows space check-ins across your organization. It is part of the Space Insights dashboard. Admins use it to see how the organization uses Robin space check-in features, and how check-in policies affect the data they can see.

Space check-ins show if people actually use spaces. This can give you strong insight for space planning.

To open the dashboard:

  1. Select the Analytics tab in the web dashboard.
  2. Select Space Insights in the left panel.
  3. Select the Check-Ins tab at the bottom of the page.
  4. Use the fields at the top of the page to filter by campus, building, floor and date range.

"Unspecified" check-in methods can be API calls, external applications or other unknown methods that are not set up for reporting.

The table below lists key use cases and tips on how the report can help admins adjust their settings and policies.

Total Spaces

The total number of active spaces

Check-in for spaces is an all-or-nothing setting. This dashboard is useful if you require check-in for all your spaces. See how many spaces in your organization this dashboard analyzes.

Total Check-ins

The total number of meetings with a check-in

See the volume of check-ins across your meetings over a period of time. A low number can mean low adoption of meeting rooms. Use the other charts in this dashboard to find out why check-ins might be low.

Meetings Booked

The total number of space bookings, canceled and not canceled

See how many meetings people book in total. This gives an idea of how much time people spend in meetings and in meeting rooms across the organization.

Check-in rate

The check-in rate across spaces with a check-in policy, and its trend compared with a previous period

Check-ins help confirm your meeting room utilization. This chart shows how often people check in to spaces in your office. A low rate can mean that people do not use the spaces or do not follow the check-in policy. The trend from previous periods shows if this problem stays the same, increases or decreases.

What is the space check-in rate over time?

See the check-in rate on spaces over time to measure space utilization. Use it to plan your future space needs. If the check-in rate stays low month over month, you may not need as many meeting rooms as you have.

To drill down into a space type, right-click the bar chart. You see which spaces people do not check in to and are in demand.

What are the most popular check-in methods?

See the most popular check-in methods for space bookings, and make sure these methods are available across your buildings.

Robin gives your organization several ways to check in to a space. Popular check-in methods can encourage people to check in more often. You can roll them out more widely or tell your employees about them. If you recently rolled out a new check-in method, filter the time period to see its adoption rate and try to find out why people do not use it much.

How are check-in methods trending?

See how the use of each check-in method changes over time, and make sure these methods are available across your buildings.

The trend can help you see when each method started and how fast people adopted it. Use it to make the more popular methods available widely. If the use of a method drops, you can tell people that new methods are available. You can also check for other problems that stop these methods from showing utilization, such as Wi-Fi problems or the setup of the feature.
