Use this checklist to move Robin from Exchange to Microsoft 365. It is for organizations that use Exchange with Robin and want to switch to Microsoft 365.
Recreate your setup in Microsoft 365 before you change anything in Robin. Then follow the steps below. To use a migration tool, see Microsoft's guide.
Choose how to connect
A service account is a licensed user account with a specific purpose. A service account connection is more configurable. It suits teams that want the most control over permissions, access logs and similar settings.
Robin recommends this method, because it can feel familiar if you come from an Exchange environment. You can also connect via app.
Create a service account in Microsoft 365
Follow Microsoft's steps to create a service account.
Create Microsoft 365 room calendars
See Create room resources in Microsoft 365.
Configure room impersonation
If you connect with the service account method, configure room impersonation.
Remove the Exchange accounts from Robin
When Microsoft 365 is set up, remove the accounts linked to Exchange from your Robin office:
Reconnect Robin with Microsoft 365
Last, connect Robin to Microsoft 365 and pair your calendars with your spaces.
Connect Robin with a service account
See Connect via service account. If you chose the app method, see connect via app.
Pair your Microsoft 365 calendars to your spaces
Common errors when connecting via service account
Fix "Calendar not found". This error often means that impersonation is not set up yet.
