Robin platform overview

This article gives a high-level summary of what the Robin platform does. It is most useful if you want to know what the Robin service covers under a service agreement.

Robin is workplace management software, sold as a cloud subscription service. Robin makes dozens of changes to the product each week: it adds functionality and improves existing features. Robin shares key updates at updates.robinpowered.com.

Product specification and feature list

Because Robin makes dozens of changes each week, Robin does not keep a complete list of every feature it supports. Robin is also likely to change features, and in some cases remove features that no longer give value to customers. This lets Robin keep a good service and support its core use cases, listed below.

What Robin does

The platform supports these primary use cases:

  • Conference room scheduling
  • Desk booking
  • Custom resource management: parking, lockers and custom objects
  • Visitor management
  • Analytics: understand and manage office use with pre-built and customizable dashboards and exports
  • Interactive map management, with instant upload, inline editing and neighborhoods
  • Space management, with collaborative assignment scenarios and move management
  • Event service management: catering, IT, AV and custom services

The product supports workflows for admins and for employees. Robin keeps supporting these use cases, even if the way Robin delivers them changes.

Apps and key features

Robin supports these apps and key features:

  • Hot, hotel, assigned and shared assigned desks.
  • Priority booking policies for VIP groups.
  • Room Display, an app that runs on commercially available tablets (for example, iPad and Android). It shows availability and lets people book ad hoc and check in to meetings. See the list of supported tablets.
  • Outlook Add-in and Google Calendar extension. They add room booking context and search criteria, so you can find specific resources when you manage calendar events in Outlook or Google Calendar.
  • Interactive maps, for wayfinding, for booking resources such as desks and rooms, and for seeing which coworkers work nearby (you can set this with permissions).
  • User groups, policies and permissions, to manage access to different resources and set different behaviors (for example, removing abandoned meetings).
  • Abandoned Meeting/Desk Protection, which releases a reserved room or desk if nobody checks in after a set period of time. The rules and methods for check-in depend on your settings.
  • A mobile app for iOS and Android, where employees manage their desk and space reservations and check in to meetings.
  • QR/NFC Stickers that require a local check-in to confirm a desk is in use. They are optional and cost $1 per sticker.
  • Status Boards, a browser app. It runs as a large-format display of nearby room and desk availability, or as an interactive kiosk where people book resources and search for people who sit nearby.
  • A visitor management kiosk app, which logs visitors to the office, shares instructions and notifies the host when a visitor arrives. Admins can register guests and see the status of planned visitors for a given day in the web dashboard.

Key integrations

Robin integrates with these systems:

  • Calendar systems: Exchange, Office 365 and Google.
  • Slack and Microsoft Teams, for notifications of upcoming meetings and desk reservations, with options to manage the booking (check in, cancel and more).
  • User provisioning systems, such as Okta, Azure AD or HRIS directories, to automate access and group management from your existing systems. Robin uses existing standards such as SCIM and SAML for this.
  • Access control systems, for badge check-in data, through native integrations and the Robin presence API.
  • Publicly documented API endpoints, at docs.robinpowered.com. Not all functionality in Robin's apps is available or documented in the public API.
  • Room and desk displays and sensors, including Embrava, Logitech, Crestron, Vergesense and Neat.
