You can let people make their desk reservations private. Robin maps are live seating charts that show when co-workers are in the office or plan to be, so teams can coordinate. This openness does not suit everyone, so Robin lets you manage who can see a desk reservation.
Things to know
- This setting is OFF by default.
- This is a building-level setting.
- Global admins and Local Office Admins can manage the setting.
- Users with desk delegation can book and hide a desk reservation for someone else.
- You can change the visibility of an existing reservation.
- It applies to flex desks only (hot & hotel).
Enable the private reservation setting
- In the web dashboard, go to Manage.
- Select an office.
- Scroll down to the "Desk policies" section.

How it works
When you create a flex desk reservation from the office map in the web dashboard, mobile app, or kiosk, the reservation module has a visibility drop-down menu.
Visible reservations
Reservations are “visible” by default and show the person's name. Most people like to see who is in the office so they can coordinate with their teammates. Reservation names also show on the People tab in the web dashboard and mobile app.
Hidden reservations
For regular Robin members, a hidden reservation shows as "Reserved" on the map in all Robin platforms (web dashboard, mobile app & kiosk). It is also hidden on the Schedule and People tabs in the web dashboard and mobile app.
Who can see hidden reservations
Users with these permissions can see “hidden” reservations on the map in the locations where they have them:
Manage offices & maps: Users can see who reserved a desk.
Delegate booking: Users can view and manage the reservation status of others.
