Step 1: Add your office maps

Add your office maps so your team has a live, interactive view of the office and can find their way around. Robin admins create a map for each location. The map gives real-time answers to how people, spaces and resources work together in the office.

During onboarding, Robin asks you to create floors and submit floor plans. If you skipped these steps, or you need to add more floors, follow the steps below.

Replace the map on an existing floor

You can update the map on an existing floor in 2 ways: edit it yourself in the Map Editor, or send a new map to Robin. For help with the editor, see the Map Editor guide.

To have Robin create the new map, send it to Robin Support at support@robinpowered.com or through the in-app chat. Robin Support adds the new map to your account.

When the new map is ready, add it to the floor:

  1. Go to Manage and select the office building.
  2. Select the Floors tab, then select the floor.
  3. Select Edit layout. The Layout tool opens.
  4. In the Map tab, select the new map from the library, then select Start using this map.
  5. Select Publish to save your changes.

If you run into trouble, contact your Customer Success Manager.

Create your floors

During onboarding, Robin prompts you to add one or more floors to the office building you created. Give each floor a name.

Submit your floor plans

During onboarding, Robin prompts you to upload floor plans. You can create a floor plan in 3 ways:

  • Send your map file to Robin's maps team, and the team creates the map for you.
  • Upload your own CAD file, and Robin traces it for you.
  • Draw your own map.

Before you upload, check your files. Each file must be a PDF, JPG or PNG. Your files can be up to 25MB in total.

  1. Drag your file into the box, or select Browse to attach it.
  2. Optional: add notes to the floor plan. Notes help Robin's team convert and trace your map accurately.
  3. Select Create floor (or Create floors if you add more than one) in the top-right corner to finish onboarding.

If you skip this step during onboarding, or you want to add more floor maps later, do it from the Manage tab.

After you submit your floor plans, Robin's design team starts to convert them.

Within about 2 to 3 business days, you get an email when your map is complete and added to your account.

Upload a CAD file for Robin to trace automatically

During onboarding, or when you create a new floor, Robin prompts you to upload floor plans. A window shows the 3 options from above. Select Draw a map from a CAD file.

Robin then prompts you to upload your CAD file. Your file must meet these rules:

  • Upload 1 floor at a time.
  • The file must be smaller than 30MB.
  • The file must be a .dxf file.

While the file uploads, a progress indicator shows whether Robin's uploader can use your file and how far the upload has gone.

Next, select which layers of your file to use for the map. Robin detects the layers that show best in Robin, but you make the final choice.

After you select your layers, the Map Editor opens. Check that the file looks right, finish the structural layout and make any final changes before you save it.

Do not add desks or furnishings from your file or in the Map Editor. Desks and furnishings work best when you add them in the Layout tool.

Save your map. The Layout tool opens. Publish the map there, then add desks, spaces, resources and furnishings.

Important: A CAD map that you upload over an existing map keeps your desks, spaces and furnishings. They can look different on the new floor plan, so you may need to move them to the right places.

A map from a CAD file is usually available right away. It can take a few minutes to go live after you upload and publish it. The map appears within 10 minutes of the upload.

Add a floor for a converted map

If you still need a floor for your converted map, create the floor and add the map to it:

  1. Go to Manage and select the building.
  2. Select the Floors tab, then select Add Floors.
  3. Enter the floor name.
  4. Select Create floor in the top-right corner. The office building details page opens.
  5. Select the Floors tab, then select the floor name.
  6. Select Add a map. The Layout tool opens.
  7. In the Map tab, select the map, then select Start using this map.
  8. Select Publish.
