Step 3: Set up desks in the Layout tool

Set up desks on your office map with the Layout tool in the web dashboard. The Layout tool places bookable resources on your map, such as desks, spaces, parking spots and lockers. This article covers desks. To set up other resources, see these guides:

Add desks to the map

Place desk templates on the map, then move, rotate and resize them. Combine templates to build a custom pod for your seating plan.

  1. In the web dashboard, select Map > Edit floor > Layout. The Layout tool opens.
  2. In the left toolbar, select the Desks folder.
  3. Select a desk template, then select where it goes on the map.Adding a desk template to the map in the Layout tool
  4. Line the desk up with other pods. The desk snaps to the red guidelines on the map. For small moves, select the desk and use the arrow keys on your keyboard.
  5. To rotate a desk, drag the rotation knob. Hold Shift to rotate it freely.

A new desk takes the most common desk size on your map.

Group desks into a desk group

A desk group saves a pod configuration. Every desk you add starts ungrouped and shows in red on the map.

  1. Drag your cursor across the desks you want in the group.
  2. In the right panel, select Create group.

Name the desk group and desks

Robin gives a new desk group and its desks default names, such as Pod 1 and Desk 1. You can rename the desk group only after you select Create group.

  1. Select the desks on the map.
  2. In the right panel, type new names in the text boxes for the desk group and each desk.

Add amenities to desks

  1. Drag your cursor across the desks. The amenities panel opens on the right side of the map.
  2. Type in the picker and select the amenities.
  3. To change the quantity of an amenity, select the gray # next to it.

To remove an amenity, hover over the right side of its name, then select the x.

If the amenity you need is not in the list, create it. A custom amenity shows in the list after you create it. See Creating custom amenities.

Set the desk type

A desk is Assigned, Hot or Hoteled. You can set or change the desk type for a desk group, 1 desk, or some desks in a desk group.

To set the desk type for a desk group:

  1. Drag your cursor across the desks. The menu panel opens on the right side of the map.
  2. In the drop-down menu, select the desk type. It applies to all the selected desks.

To mix desk types in a desk group:

  1. Hold Shift and select each desk you want. The menu panel opens on the right side of the map.

Set desk policies

  1. Select the Policies tab.
  2. Select Add policy, or the + button if the group already has a policy. Then select a policy to turn it on.
  3. Change the default limits.

A desk group takes the desk policies set for its office building. How the office defaults show depends on what you do after you create the group:

  • If you leave the Policies tab empty and select Publish, the office defaults show when you open the Layout tool again.
  • If you go straight to the Policies tab, add a policy and select Publish, the office defaults do not apply to the policy you added.

Publish your changes

Publish your changes now, or keep building your floor plan with spaces, work area labels and points of interest. When you are ready to go live, select Publish. The button works only when every desk on the map is in a desk group.

Keep in mind

  • You cannot save your map until every desk is in a desk group.
  • When you group several pods together, their spacing stays the same as you drag the group on the map.
