Robin syncs your calendar events within a syncing window. You can still schedule events further in advance than that window.
Syncing in advance
To stay fast, Robin syncs more accurately the closer an event is to the current date. The window for syncing accuracy depends on your calendar system:
- For Google Calendar, the syncing window is about 3 months in advance by default. For recurring events, Robin stores instances up to 2 years ahead.
- For Office 365 and Exchange, the syncing window is about 3 months in advance by default.
Calendar syncing for the first time
When you first connect a calendar, Robin automatically syncs the events in its short-term syncing window. For a new connection, this can take about 20 minutes. After that, syncing is instant.
Events created a long time ago may not show in the schedule immediately. You can still create events, and Robin protects you if it finds a conflict.
Events created before you connected Robin that are more than about 3 months in advance show up when someone edits them, or when they fall within the syncing window. Robin still prevents double bookings, even if your booking is outside the syncing window. But events booked in your native calendar do not show in the Robin UI until they are within the syncing window.
Events from the past 15 days also sync to Robin, and so do instances of recurring events from the past 30 days.
Scheduling events (far) in advance
95% of meetings are scheduled less than 90 days in advance. By default, you can schedule a meeting in Robin up to a year in advance, outside the sync window. The meeting may not show in the Robin UI again until it falls in the syncing window. If your native calendar system limits how far in advance you can schedule, it declines your event.
An event that does not show in the Robin UI still exists. Robin prevents anyone from booking over it. To keep schedules fast, Robin does not show the event in the Robin UI until it gets closer to the current date.
If you see greyed-out calendar dates when you try to schedule an event in Robin more than a year in advance, this is why: by default, you can schedule up to a year in advance.
