Set up meeting services

Set up meeting services so employees can make special requests for their events and spaces, such as food and drinks or a custom room setup. The Meeting Service feature has detailed settings that connect each meeting organizer with the right person on the service team.

Follow these steps to set up the services your office offers to employees.

Turn on Workplace Services

  1. Select Manage > offices > select a building.
  2. Under the "Features" tab, turn on the Workplace Services feature.

Create a meeting service

  1. Select the Workplaces tab in the left sidebar of the web dashboard, then Tickets.
  2. Select Meeting Services at the top, then New at the top right.new btn.jpg
  3. Fill out the service details. Start with the category.
  4. Select + Add category.
  5. Enter the category name.
  6. Optional: add a key as a reference ID for the type of service request, such as CAT for catering.category name:key.jpg
  7. Select Save.
  8. Enter the service name.
  9. Optional: add a description of the service.

    Tip: Use the description box for extra instructions, resources or links to outside workflows. For example, add "Contactxxx@domain.com for any requests less than 24 hours in advance." as catering instructions.

  10. Add assignees (or providers). An assignee is the person or group that Robin notifies and that fulfills these service requests.add assignee.jpg

  12. Create a question form that gives details and options about the service for employees to fill out. The next section explains each question type.
  13. When you finish the question form, select Publish.

Build the question form

The examples below show how to use each type of custom form question.

Short answer

Use short answer questions for quick answers, such as purchase orders or cost codes.

Long answer

Use long answers for descriptions, allergies or other notes.

Multiple choice

Use multi-select for all multiple-choice or single-select questions. Each option can have extra notes or images that users see when they request the service.

When multi-select is unchecked, users can pick only one option from the list.

When multi-select is checked, users can pick more than one option from the list.

You can mark any question as required. Use the buttons to the right of each response to add descriptions or images.

Menu

Use menu options to build custom menus with quantities and local prices. Each option can have extra notes or images that users see when they request the service.

File upload

Use file upload questions to collect approved purchase orders or other documents that your organization's ordering workflow needs.
