Add a room to an event as an attendee in the Outlook Add-In

Meeting attendees can add a room to an event with the Outlook Add-in. Attendees in a different location can book a space in their own office for the same meeting. Attendees have limited access: they can add or change the event's meeting room only by forwarding the event invite to the room they want to add.

  1. Find and open the meeting in your Outlook calendar.

  2. In the event composer toolbar, select the Robin Room Scheduling & Desk Booking app.opening addin.gif

  3. The Robin Add-in lists the rooms available for the meeting. Under the room you want to add, select Copy spaces address.
  4. In the event composer, select Forward to create an email.
  5. Paste the copied room address into the "To" field and forward the original meeting invite to this address.

  6. If there are no scheduling conflicts, the room's calendar accepts the forwarded invite automatically.

  7. After the room is booked, the meeting organizer and all attendees get an email with the updated meeting room information.

When you book a room in Outlook, you can also add Meeting Services or visitors to your meeting, the same as in Robin.
