Managing meetings in a dynamic office can be tedious and complex. Robin’s AI-powered Scheduling Agent simplifies space management by automating scheduling decisions that currently require hours of manual rescheduling.
All of the functionality below takes calendar permissions into account. Users will only be able to move and reschedule meetings they have access to and will only be able to move meetings to spaces in which they have permission to book.
Here is what you'll be able to do with the page and Scheduling Agent as part of the early access program:
Move meetings using drag and drop
Meetings can be moved and rescheduled by dragging the between spaces within the Meeting Rooms page.
Once you've dragged a meeting to a new space, you'll be asked to confirm the move by selecting the "Move" or "Move and Reschedule" button in the bottom middle of the page. After selecting the button, your meeting will be moved.
- If the room you're moving to is too large or too small for the meeting size, Robin will allow the booking but display a yellow warning about the capacity mismatch.
- If you try to move the meeting to a request-only room, the space will display a red warning, and you will not be able to move the meeting.
If you do not have permission to book in a space, the space will display a red warning, and you will not be able to move your meeting to that space.
Resolve scheduling conflicts using AI suggestions
If you drag a meeting over an existing meeting and have permission to modify both, the "Fix Conflicts" button will appear. Select "Fix Conflicts" and the agent will open, suggesting alternate spaces for the displaced meeting.
You can view the suggestions by using the "Next" button, and accept one by selecting the "Move" button. If accepted, Robin will move the affected meeting and notify its organizer of the changes.
In order to ensure your original meeting is moved into the new space, close the agent, and select "Move". Now both the conflicting meeting and your original meeting will be moved.
