Use Workplace Announcements to share real-time office updates and policies with employees. An announcement can go live immediately, or you can schedule it.
You can post 2 types of announcements. A standard announcement goes to the "announcement inbox". A priority announcement is a "mandatory announcement" that employees must acknowledge.
Create an announcement
You can create an office announcement from the Schedule page, the Manage tab (depending on your permissions) or the mobile app.
- From the Schedule page: Select the Announcement icon at the top right of the Schedule homepage.
- From Manage page: Select Manage > Announcements on the left.
- To create Quick Announcements From the mobile app: Select the Announcement icon on the Schedule tab or on the Workplace tab
Then create the announcement:
-
Select Create announcement.
- Name the announcement. Employees see this name.
-
Enter the announcement details.
You can use rich text: bold, italics, underline and URLs.
-
Select the offices to share the announcement with.
People with access to the selected buildings see the announcement in the Robin mobile app and web dashboard.
-
Decide when the announcement goes live and for how long. Publish it immediately or schedule a publish date.
The end date works the same way: archive the announcement yourself, or schedule an automatic archive date and time.
-
Choose the type of announcement to post.
- Standard announcements do not need an acknowledgment and do not pop up when people open Robin. They go to the "announcement inbox". Everyone can open the inbox in the web dashboard and mobile app at any time.
- Priority announcements are mandatory. People must acknowledge them before they can keep using the app. A new, unacknowledged priority announcement pops up immediately when people open Robin in the web dashboard or the mobile app, if they are onboarded and signed in. Use the toggle for priority messages (shown below).
Standard announcements and acknowledged priority announcements stay in the announcement inbox for employees to read at any time, until an admin archives them.
-
To also send the announcement by email, turn on the toggle and enter individual or group email addresses.
The email lets people view or acknowledge the announcement in Robin. It looks like this:
-
You can also send a mobile push notification to employees who have push notifications turned on.
- Select PUBLISH to launch your announcement.
Manage announcements
Announcement log
All announcements are in the announcement log (Manage > Announcements). There you can:
- Filter by location and announcement status.
- View the details: announcement name, status, when and who created it.
- See the number of views and acknowledgments for each announcement.
-
Edit announcements: select the announcement name to open and edit it.
An update does not repost the announcement. People who already saw it do not see the updated version.
-
Archive announcements: when an announcement no longer applies, select the announcement name to open it. Then select Archive at the top right.
You cannot un-archive or reinstate an archived announcement.
Announcement analytics
Anyone with the Announcement posting permission can see how many views and acknowledgments an announcement has. Open the announcement in the web dashboard.
