Place your desks and spaces on the map to make your office bookable. Open the Layout tool, drop your desks and spaces onto the map and name them. You can publish desks on their own. You do not need rooms set up to go live.
This guide is for Essentials & Business plan customers.
To open the Layout tool, go to the Map page in the web dashboard. Select Edit floor at the top right, then Layout.
Add your desks
- Select the Desks folder in the left panel.
- Select a desk template, then select where it goes on the map. Use the red guidelines to line up desks, or move them with the arrow keys.
- Rotate and resize the desks as needed. New desks use the most common size on your map by default.
- Select a group of desks, select Create group and name the pod. You can save only when every desk is in a group.
- Name each desk in the right panel. When you select a name, Robin highlights that desk in blue, so you label the right one.
- Set the desk type for each desk or pod: hot for first come first served, assigned for a permanent owner or hoteled for reservable in advance.
- (Optional) Add amenities such as a monitor or dock, so people can filter for what they need.
- Select Publish.
Add your spaces
- Select the Spaces folder in the left panel.
- Select where the space goes on the map. Then use the points on the outline to shape it.
- Fill in the basic settings on the right: name, capacity and type.
- Choose how the space works:
- On-demand for ad hoc use with no advance booking. Do not add a calendar.
- Scheduled for rooms people reserve in advance. This needs a room calendar, which you connect in the next step.
- Request only for spaces that need admin approval before booking.
- Publish your changes.
If you set up scheduled rooms, leave the calendar pairing for Step 4. You can place every space now and connect calendars later.
Ready to proceed
When your desks are grouped, named, typed and published, your office is bookable. Add rooms when you are ready.
