6) Set up visitor management

Set up visitor management so your team can register guests ahead of time. Robin notifies the host when a guest arrives and keeps a record of who has been on site. Clients, vendors, contractors and job applicants all visit most offices, not only employees.

People can add guests from the web dashboard, the mobile app or the Outlook add-in.

This guide is for Essentials & Business plan customers.

Set it up

  1. Turn on visitor management for each office. Go to Manage > Offices, select the building, open the Features tab and turn on visitor management. Do this again for each office that needs it.
  2. Create a list of different types of visits that fits your office. Visit types help hosts prepare for visitors and give office admins accurate records.
  3. Set up an arrival display at the front entrance for check-ins.
  4. Decide who can invite guests to the office: everyone, or only specific users such as office admins and managers.
  5. Learn how to use the visitor log. It shows who has been at your office and when. You can "Check guests out" there, or guests can check themselves out from the arrival display.

You can also use visitor management in the Robin mobile app. Log in and go to the Workplace tab to find the Visitors card, or select the icon at the top right to add a visit.
