The Workplace Insights dashboard gives you an overall view of how spaces and desks are used at the building and floor level. It helps office admins understand utilization trends and find ways to optimize space.
With hybrid work, desk and floor usage is less predictable. It can be hard to measure when you make critical decisions for the office.
Open the Workplace Insights dashboard
- Select the Analytics tab in the web dashboard.
- Select Workplace Insights in the left panel.
Questions the dashboard answers
The dashboard helps you answer questions like these:
- I want to cut a floor to save real estate costs. Which floor has the lowest overall utilization?
- I want to cut floor 1. Do I have enough desks on a different floor to handle its usage?
- How does desk and space utilization compare across buildings? (Use the campus filter.)
- I want to cut the floor with the lowest utilization. Is its utilization low across the past year, or only in the past 30 days?
- My space usage seems low. What can I learn about these spaces?
Personalized recommendations
At the top of the building dashboard, you see 3 personalized recommendations. They are based on the utilization data for the selected building. The insights always come from the last 30 days of usage.
The recommendations fall into 3 insight categories:

Unused space by capacity: Finds spaces of certain capacities with low usage over time.
It shows where some spaces may not fit your workforce, based on capacity and usage trends. Admins can then reconfigure or remove the space.

Desk check-in rate: Shows whether employees check in to their desk reservations.
- If the check-in rate is low, remind employees of the workplace policies to get more accurate usage data. A low rate can also mean that usage is not as high as booking data alone shows.
- If the check-in rate is high, you can trust the adoption of this feature and how well it represents desk usage.

Popular meeting days: Shows up to 2 days of the week when space usage is high over time.
Check the peak meeting days to confirm you have enough spaces for your employees. If you plan changes such as consolidating floors, make sure there are enough meeting rooms for peak-day space usage.
Desk & space usage trends by building/floor
View desk and space usage trends over different periods of time to understand usage at the building or floor level. To choose the building or floor level, select the tab at the bottom of the screen.
- Switch between the Desk Usage and Space Usage tabs.
- Hover over a part of the trend line to see the % of usage for a building or floor.
- To highlight a building or floor in the graph, select it in the legend.
Average building or floor usage table
Compare desk and space usage across buildings or floors to understand how each one is used.
View average desk usage by building or floor
Robin calculates average desk usage as total desks booked/total desks available x 100.
- If 2 people book a desk, it still counts as one desk booking in the total desks booked for desk utilization.
- Desk reservations made outside of your set office hours are not included in the total desk bookings.
View average space usage by building or floor
Robin calculates average space usage as total space hours booked/total space booking hours available on open office days x 100.
- It uses standard open office hours (9 am - 5 pm) for all customers and assumes an 8-hour work day.
- Space reservations booked outside of office hours count in total hours booked.
