What a calendar resource is
A calendar resource (also called a "resource calendar" or "room calendar") is a special type of calendar for shared resources that can do only one thing at a time, such as rooms or equipment (for example, camera equipment).
Robin and Google Workspace work best with resource calendars. Robin does not recommend shared calendars.
Before you start
You need:
- A Google Workspace for Business account.
- Access to a Google admin account.
- At least one office building in Google. Google Calendar uses buildings as the base for all your resources. To add a building, follow Google's steps to add a building.
- A list of all your conference rooms.
Create a calendar resource
This video shows how to set up calendars for your rooms in under a minute.
- Sign in to your Google admin account to open the Google Admin console. If the sign-in page shows a list of Google Accounts, choose your admin account (it does not end in @gmail.com).
- In the left panel of the Admin console, select Apps > Google Workspace > Calendar, then select the Resources section to open it.
- Select the yellow + add button. If no buildings are listed, add one before you add resources: select the Add building link to create one.
- Enter the resource name, type and description. Follow Google's recommendations for structured resources.
- Select Add Resource.
By default, Google shares managed resources with people in your organization and sets them to "Auto-accept invitations that do not conflict." To share resource calendars with specific people or a group in Google, see Google's guide to sharing resource calendars.
