If your office uses the desk sharing feature, then you have the option to share (release) your assigned desk for others to use while you're out of the office. Using the web dashboard, you can share (release) your desk from the office map or from your user profile.
A few notes before getting started:
- An assigned desk can be shared (released) up to 3 months in advance.
- When an assigned desk is released, it immediately becomes available for another employee to book.
- Sharing (releasing) an assigned desk can only be done from the web dashboard, but a shared (released) desk can be booked from the web dashboard, mobile app, Slack, Teams, or interactive kiosk.
- Selecting "I'm not coming" does not automatically share (release) your desk for others to use. The desk must also be in "sharing status" using the desk-sharing calendar (captured in the steps below).
How to share a desk from the office map
Note that admins or user roles with desk delegation permission can share your desk on your behalf from the office map as well.
1. In the web dashboard, navigate to the Office tab.
2. Locate your assigned desk on the map. (You may need to adjust the date/time to see it on the map)
3. Click on your desk > click More.
4. Click Share desk.
5. Use the calendar module to select the days you want to share your desk.
6. Click Save.
How to share a desk from the user profile page
1. In the web dashboard, navigate to your profile in the top right corner > select Profile from the menu.
2. Next to your assigned desk reservation, click the 3 action dots to open more options.
3. Select Share desk.
4. Use the calendar module to select the days you want to share your desk.
5. Click Save.
If your plans change and you need your desk after all, reopen your desk-sharing calendar to check if someone has booked your desk. If no one has booked it, select the date(s) you need to reclaim it.

If your office admin shares your desk on your behalf while you're out of the office, you'll receive an email notification letting you know the dates your desk is being shared.
