What the map kiosk does
Use the map kiosk to search for conference rooms, desks and coworkers on an interactive map of your office. The map kiosk is the interactive map for your office status boards. When you find what you need, reserve it at the kiosk.
The kiosk helps answer questions like these:
- What is free and available near me to use now?
- Which part of the floor is the "Blue room" on?
- Where does John sit, so I can reserve a desk near him?

Read the map legend
Status colors show whether a space or desk is occupied or available. The legend at the bottom left of the map explains the status colors and the common points of interest in your office.
By default, Robin uses these colors. Your office can customize them.
- Red = In use (spaces only).
- Yellow = Booked, but not confirmed (spaces only).
- Green = Available (spaces and desks).
- Grey = Unavailable. A desk reservation occupies the desk, or it is an assigned seat.
Search for and reserve a space
At the kiosk, you can book a space only for right away, like an ad hoc meeting from a room display. Non-bookable or restricted spaces show on the map, but you cannot book them at the kiosk.
- At the top, select book a space and the activity you need a space for.
- Select a floor at the bottom right of the kiosk.
- Scroll around the map and select a space to learn more. If you know your office space names, use the search bar to look up the availability of your "go-to" space. Space search covers the whole campus.
- An info card opens with more information, including capacity, available amenities and upcoming meetings.
- Select the time block you need. Then go to the space and check in to the meeting.
Every meeting booked at the map kiosk requires a check-in at the room display. If your office uses abandoned meeting protection, go to the room display quickly to check in. This stops people from booking ghost meetings and taking over a whole floor from the kiosk.
Search for and reserve a desk
Reserve a desk at the kiosk to get an overview of available desks and see where they are in relation to coworkers, teams and points of interest.
A desk reservation from the kiosk starts right away and lasts until the end of the day.
- Select book desk.
- To change the floor, use the drop-down menu at the bottom right of the kiosk.
- Scroll around the map and select a desk to learn more. Or use the search bar (select desks) to highlight the available desks on that floor. To check a favorite seat, type its name to see its availability.
- An info card opens with more information, including available amenities and location. If the desk is reserved, the card shows who has the desk.
- When you find a desk you want, select Reserve.
- Enter your name and select your user account.
- Select Reserve to reserve the desk for the day. To cancel the desk reservation and search again, select Undo.
Find your coworkers
Search for coworkers to find a seat near them, or to see if they are free for a quick chat. Type a person's name in the search tool at the top left.
If the person has an assigned seat or a desk reservation, an info card opens with their desk location and their upcoming availability. The map highlights their desk, so you can find a seat near them.
