To invite many people to Robin at once, upload a CSV file with their email addresses. Watch the video or follow the steps below.
Format your CSV file
The import reads 5 columns: name, email, department, title and manager (the manager's email address). Only email is required. Headers are case-sensitive, so write them in lowercase. To get the right headers, use the CSV template in the import tool. Your file looks like this:
Robin uses department and manager details in analytics, and to help people plan their visits to the office. If a person is already in Robin, the import updates their name, department, title and manager.
Save your spreadsheet with the .csv file extension.
Upload a CSV file to Robin
You can import up to 500 people at a time, or your plan's limit if it is lower. Robin skips invalid and duplicate email addresses.

Sign in to the web dashboard as an admin, or with a role that has the People permission set to Edit. Go to Manage > People, select Add people, then select Import from CSV.

Under Upload CSV, drag and drop your .csv file, or choose select a file. To get the template, select Download the CSV template.
- Select Next. You see the people from your file.
- Check that the names, email addresses and other details are correct.

Set the Send Robin invitation via email toggle:
- Leave it on if people sign in with a username and password only. Robin sends each person an email with a link to set up their Robin account.
- Turn it off if people will sign in with single sign-on and you need to set up groups before launch. Robin adds the people but sends no email invite.

Select Add People.
Robin adds the people in the background. For a file with more than 150 people, Robin emails you when the upload is complete.
Send invites later
If you turned off Send Robin invitation via email, you can send invites later. On the Manage > People page, a person who has not joined shows Invited. Select Resend next to it. Importing the same file again does not send invites to people who are already in Robin. See Invite your coworkers.
