Get started with groups and permissions

Use groups and roles to control what the people in your organization can do in Robin. A group sorts people, for example by department, role or location. A role sets what features and locations a person can access. You can set up groups and permissions with or without SCIM.

How groups and roles work

A person can belong to 1 or more groups, such as the sales team or senior managers in Boston. A person can also have 1 or more roles.

Robin gives every new user the member role. A user always keeps the member role, and you cannot remove it. To give a user more permissions, assign them another role. That role can be a custom role or a default role.

Every customer has 3 default roles: member, admin and owner. To learn about them, see User roles in Robin.

With Advanced Authentication & User Management, you can change the default roles, create custom roles and assign people to them. This role-based access control lets admins decide which permissions each person gets.

Set up groups and permissions without SCIM

Without SCIM, you manage groups and permissions in Robin. Each step needs Advanced Authentication & User Management.

  1. Create groups and add people.
  2. Create custom roles.
  3. Add permissions to roles.

Set up groups and permissions with SCIM

With SCIM, you set up roles and permissions in Robin once. After that, you manage most of it from your identity provider, such as Microsoft Entra ID or Okta. Each step needs Advanced Authentication & User Management.

  1. Create custom roles.
  2. Add permissions to roles.
  3. Configure Robin for SCIM. Turn on automatic provisioning and deprovisioning in your identity provider, so Robin stays in sync.
  4. Push users and groups to Robin from your identity provider.
  5. Assign the groups to the correct roles in Robin. See Create custom roles.
