Add and manage groups

Add groups in Robin to sort the people in your organization, for example by department, team or office. Groups make it easier to find the right colleagues in the directory. You can also assign roles to a group to manage what its members can do in Robin.

Create a group

Base a group on a department, a role or a location. For example: Sales Team, Senior Managers or Boston.

  1. Go to Manage > Groups.

  2. Select Create new group.

  3. Enter a Group name and a Group description.

  4. To make the group private, select Set group as private.

  5. Select Save changes.

How private groups work

Only people with permission to manage groups see a private group and its members. Admins and owners have this permission. Everyone else does not see private groups in the Groups column on the People tab or in the list of groups. People in a private group can still see that they belong to it.

To make existing groups private, go to Manage > Groups, select the check box next to each group, then select Mark as private. You can also select Set group as private when you edit a group.

Edit a group

You can change the name and description of a group.

  1. Go to Manage > Groups.

  2. Select the check box next to the group.

  3. Select the edit icon. You see the Edit group window.

  4. Change the Group name or Group description, then select Save changes.

To delete the group, select Delete in the Edit group window. Type the group name to confirm, then select Delete.

If a group shows Group managed by Rippling, change it and its members in Rippling.

Add people to a group

Add people one at a time, or add many people at once with a CSV file.

  1. Go to Manage > Groups and select the group name.

  2. Select Add people to add people one at a time, or select Import CSV to add people in bulk.

A CSV file for a group follows these rules:

  • It has 2 columns: name and email. The email column is required.
  • The headers are case-sensitive. Write them in lowercase.
  • It has up to 150 people, or your plan's limit if it is lower.

If the file lists people who do not have a Robin account, Robin asks if you want to add them to your organization. Robin adds them silently and does not send an invitation, unless you select Send Robin invitation via email. To learn more about CSV files, see Bulk invite members with a CSV file.

Remove people from a group

  1. Go to Manage > Groups and select the group name.

  2. Select the check box next to each person you want to remove.

  3. Select the trash icon, then confirm.

Roles and permissions

With Advanced Authentication & User Management, you can assign groups to custom roles and add permissions to those roles.
