Robin Visitor Management supports role-based permissions. Admins give different permissions to users and roles to control how your organization manages visitors.
Assign a role to administer Visitor Management
- Global admins can assign the Visitor Management Admin role to users with the "Manage visits" permission. This gives them full control over the Visitor Management product without overall product admin privileges.
- With "Manage visits" selected, users can see and manage all visits, including creating and managing documents and visit types.
Manage building-specific visits
These permissions control visits in specific buildings.
View hosted visits
Users can see visits they host in specific buildings, but not visits in other buildings. Tip: Most people should usually have this permission on.
Manage hosted visits
Users can create, update and delete visits they host. You can restrict this to individual buildings. Tip: Most people should usually have this permission on.
View all visits
Users can see all visits in specific buildings, but not visits in other buildings. This permission helps front desk attendants, building security and receptionists know how many visitors to expect at any time.
Manage all visits
Users can see, create, update and delete all visits in specific buildings, but not in other buildings. This includes visits they do not host. This permission helps building admins or security admins who need full admin access to visitor management in some buildings but not others.
Note: Robin applies the highest level of permissions the user has. For example, a global admin can manage all of the visitor management permissions. You cannot restrict a global admin to a particular building or visibility level while they are part of the admin role.
Assign Visitor Management permissions
- Go to the Manage tab.
- Select Roles in the left panel.
- Select an existing role or create a new role to edit permissions.
- Select the Visitors tab.
- Choose which permissions apply in which buildings for this role.
- Add groups or specific members to the role.
