Create custom visitor registration forms

Organizations with Robin’s Visitor Management can create unlimited custom visitor registration forms to use when people are pre-registering scheduled visitors. 

How to create a custom form:

  1. Navigate to Visits and select Custom Visit Forms from the subtab group.
  2. Click Create.
  3. Name the form for your records. 
  4. Select + Add question.
  5. Enter a question for people to fill out when registering visitors.chrome-capture-2025-5-1 (3).gif
  6. Next to it, select the answer field type:
    • Short or long answer
    • Dropdown -- select + Add option to add multiple answers in the dropdown. 
  7. Select whether the field should be required or optional.
  8. Select whether the field should be printed to be displayed on a visitor badge.
    • Up to two custom fields can be selected to print on badges.
    • Only required fields can be selected to print on badges.
    • Only short answer questions can be selected to print on badges.
  9. Preview how the form appears on the front-end using the preview toggle in the upper right corner.   chrome-capture-2025-5-1 (4).gif
  10. When the form has all the required fields and settings, select Next to assign the form to a building. 
  11. The form can be assigned to a single building, multiple buildings, or all buildings. 
    • Buildings that already have a custom form assigned to them will not be selectable. Screenshot 2025-05-01 at 1.25.39 PM.png
  12. Click Publish. The form will go live for the selected locations.  Buildings without a custom form assigned will use the default Robin visitor registration form. 
  13. Admins can review the responses to the custom forms on the visit registration details in the  visitor log in the web dashboard. 

View and edit custom forms

All the custom forms created are found under the Custom Visit Forms tab. 

  • Sort forms by location.
  • Sort forms by name.
  • Sort forms by status (Live or Unassigned).
  • Assign unassigned forms to an available building.
  • View the last updater of the form.
  • View the date of the last update.
  • Select a form for editing or deletion.
    • Note: Once a form is deleted, it will be permanently removed from the form list and cannot be recovered.
