Early access- Booking a resource on behalf of an employee

If you have the delegate booking permission, you can reserve resources for other people using the office map. If your organization doesn't provide parking and lockers reservations (in addition to desks and spaces), your office map may look slightly different. 

  1. Open the Office tab in the web dashboard. 
  2. Set the reservation search criteria using the menu at the top. Use the resource icons to streamline your search by adding resource-specific filters.
    • In the example below, we are searching for a parking spot to book for a range of days (5/27-5/30).  chrome-capture-2025-5-23.gif
  1. Select a resource on the map to book it. This opens a menu on the right with the resource details. 
  2. Review your reservation date, time, and any booking policies you should be aware of. 
  3. Select Book for. 
  4. Search for the person you're booking for and select their name. You can only search and reserve by name for people who have an established Robin user account. 
    • If you need to book a resource for a guest, enter their email address. However, adding their email as a visitor and reserving/assigning a desk or resource with their email address does not automatically add their email in Robin as an actual Robin member, which means guests don't have the ability to log in to complete check-ins.

    • The guest's name will not appear on the desk, in people searches, or on the "Who's in" list because Robin only has an email address. Use the Visits log to track office guests. 

  5. Select Book. You'll see a confirmation message and the reservation details in the module.

Note, the new map experience does not support the email confirmation notification or private reservation options yet.
