Automatic desk booking lets Robin book desks for you. It uses your past bookings, your default schedule and your preferred office. It works best when you have the same schedule each week.
How automatic desk booking works
After you opt in, Robin books desks each day for the people in your organization who use the feature. Robin books desks for you up to the Advanced Booking Threshold of your preferred location, to a maximum of 31 days from today.
For example, if your building's Advanced Booking Threshold is 14 days, Robin books desks for you up to 14 days ahead. If the threshold is 3 months, Robin books desks for you up to 31 days ahead.
Robin books desks for you only when all of these are true:
- An admin turned on automatic desk booking for your preferred office location.
- You turned on automatic desk booking in your user preferences.
- You have a default work schedule (your remote and in-office days).
- You booked a desk in the last 90 days.

-
In the web dashboard, select your profile icon in the top right corner, then select User settings.

On the left, select the Default Location & schedule tab.
-
Turn the Automatic desk booking setting on or off.
-

From the Schedule page
-
Open the web dashboard. If the Schedule page is not your home page, go to it.
-
Select your preferred office in the top left corner.
-
Select the In office or Remote button.
-
Select Edit default schedule.
-
In the window that opens, turn on the Automatic desk booking setting.
-

Cancel automatically booked desks
If you cancel a desk that Robin booked for you, Robin does not book it again. You can still book a desk for yourself that day. You cancel auto-booked desks the same way you cancel desks you booked yourself. One way is from your user profile:
-
Select your User profile in the top right corner.
-
Select Cancel auto-bookings, or select the action button next to the reservation you want to cancel.
-
Select Cancel bookings. Robin changes your status to "Remote", unless you clear Update status to remote.
Automatic desk booking FAQ
These answers explain how Robin picks a desk for you.
What if I change desks?
To teach automatic desk booking your new desk, book the new desk often for 1 to 2 weeks. This gives Robin enough data to give your new desk a higher "frequency" score. Then turn automatic desk booking back on. Robin puts your new desk first, based on your recent bookings.
What if I book the same desk more than once in a day?
Robin counts each booking toward your "frequency" score for that desk, including more than one booking on the same day.
What if a desk is not available, or I cannot book it?
If a desk is not available for your time and duration, or you do not have permission to book it, Robin leaves that desk out, so it does not book it for you.
