If your office uses desk sharing, you can share (release) your assigned desk so others can use it while you are out of the office.
Selecting "I'm not coming in" or "Release desk" does not share your desk with others by itself. It only tells Robin you are not using the desk. To let others use your desk, the desk must also be in sharing status. This article shows how to put your desk in sharing status with the desk-sharing calendar.
Before you start
These rules apply when you share (release) an assigned desk:
- You can share your assigned desk up to 3 months in advance.
- When you release your desk, other employees can book it immediately.
- You share your desk only from the web dashboard or the mobile app. Others can book a shared desk from the web dashboard, the mobile app, Slack, Teams or an interactive kiosk.
Share your desk from the office map
Admins and roles with the desk delegation permission can also share your desk for you from the office map.

In the web dashboard, go to the Map tab.

Find your assigned desk on the map. You may need to change the date or time to see it.

Select your desk, then select Release.

In the calendar, select the days you want to share your desk.

Select Save.
Share your desk from the Robin mobile app
In the mobile app, you can release your desk from the map view, the reservation card or the schedule.

In the Robin mobile app, go to the Schedule tab in the bottom left of the navigation bar.

Tap your assigned desk reservation.

Select Release, then select Release again to confirm.
Share your desk from your user profile

In the web dashboard, select your profile in the top right corner, then select Profile from the menu.

Next to your assigned desk reservation, select the 3 dots to see more options.

Select Release.

In the calendar, select the days you want to share your desk.

Select Save.
If your plans change and you need your desk, open your desk-sharing calendar again and check if someone booked your desk. If no one booked it, select the dates you want to take back.
What happens after you share your desk
Others can book your shared desk from the web dashboard, the mobile app, Slack, Teams or an interactive kiosk. The desk details show who usually sits there.
If your office admin shares your desk for you while you are out, you get an email with the dates your desk is shared.
