User roles in Robin

A user role sets what a person can do in Robin. Robin has 3 default roles, each with different access:

  • Member
  • Admin
  • Owner

Every person you invite has the Member role. To give a person more permissions, give them the Admin or Owner role, or a custom role.

On an Enterprise plan, or with the Advanced Authentication & User Management add-on, you can change the default roles and create custom roles. Then you give those roles to people. Roles and their permissions add up, and you can give a role to one person or to a group. See Add permissions to a role.

Member

A member is a person who was invited to join your organization. A member can:

  • Manage their own account.
  • View building and space details, such as the description, capacity, amenities and schedule.
  • Search for and book spaces in the web dashboard, the mobile app and the tablet app.
  • Search for and book short-term desks in the web dashboard and the mobile app.
  • View the people in your organization.

Admin

An admin or an owner promotes a person to admin. An admin can:

  • Manage their own account.
  • View and edit space details, including the schedule, analytics, devices and people, and pair calendars and devices.
  • Set up and manage the Rooms tablet app.
  • Search for and book spaces in the web dashboard, the mobile app and the tablet app.
  • Add, remove and promote members.
  • View and edit building and organization details, including integrations and the API.
  • Edit or delete meetings created in Robin for members.
  • Assign desks to members.
  • Pre-register guests.
  • Publish the Experience Survey and view the Experience Report.
  • View billing and plan information.

Owner

The person who created your Robin account gets the Owner role. An owner has all the permissions of an admin, and can also edit billing and plan information.

See and change a person's roles

Admins and owners see each person's roles on the People page. A person always has the Member role, and you cannot remove it. To give a person more permissions, add another role.

  1. Go to Manage > People.
  2. In the person's row, in the Role column, select the pencil icon. You see the list of roles, with a check mark next to each role the person has.
  3. Select a role to add it. To remove a role, select it again.

To see or change what a role allows, select the role name. You see the role's page, where you can review and change its permissions. On an Enterprise plan or with the Advanced Authentication & User Management add-on, the list of roles includes your custom roles.
