Meeting Services: manage meetings in one place
With Robin’s Meeting Services, you manage every detail of an onsite meeting in one place, from catering to AV setup. Employees get the support they need to focus on the meeting.
- Centralized dashboard: See all meeting service requests on one dashboard. Track each request in real time, such as catering, room setup or technical support.
- Customizable services: Set up service categories for your office, such as AV support, furniture arrangements or special equipment requests. Create workflows that match how your organization works.
- Notifications: Robin notifies employees who request services and admins who handle them when a request status changes. Fewer tasks get missed.
- Approvals for service requests: Admins can set up approval workflows for specific service types. Approvers get an email to approve or reject each request, and the dashboard shows the result in real time. A change to a meeting's details starts a new approval.

Space planning tools: desk assignment scenarios, quick drafts and sharing
Plan new office layouts without disrupting daily work. Admins can use Robin’s space planning tools to test, adjust and refine seating arrangements.
- Create desk assignment drafts: Try out new layouts. Clear all current desk assignments to start fresh, or copy the current setup and change it. Use this for large changes or seasonal updates.
- Quick drafts: Make small changes directly on active floor plans. For example, move desks to a project team or make room for new hires.
- Share view-only drafts: Share draft layouts with stakeholders to get their input and approval before you roll out changes. Teams agree faster, with less back-and-forth.

This release also brings updates to Visitor Management, desk booking, deliveries and access control.
Visitor Management: visitor photos on badges
Robin’s Visitor Management can add visitor photos to printed badges. This improves office security and helps organizations with strict visitor policies meet compliance requirements.
- Visitor photo capture: When you turn this on for the arrival display, Robin takes each visitor's photo at check-in. The photo shows on the printed badge and in the Visits tab.
- Streamlined setup: Admins turn on visitor photo capture in the badge printing settings. For steps, see Badge printing for Visitor Management.

Priority desk booking policies
Hybrid work needs flexibility. Robin’s priority booking policies give the right people access to key resources when they need them, for example executives first, or a balance across teams.
- Set priority rules: Create booking windows for specific groups. For example, executives can book desks up to 3 months in advance, and the rest of the company 1 month in advance. High-priority employees always have access to key resources.
- Layered access: Manage overlapping rules so that several teams can share desks without confusion.
- Time-based releases: Robin releases desks for general booking if the priority group does not book them within a set time. No desk goes unused.

Delivery Management: track packages and notify recipients
Robin includes delivery tracking tools to help you manage packages for your office.
- Create delivery zones: Set up areas for package pickups.
- Log deliveries: Add the recipient and the delivery location for each package.
- Email notifications: Robin emails recipients automatically, and you track pickups in your admin dashboard.

Brivo integration for check-ins and attendance data
Robin’s Brivo integration checks employees in for you and gives admins the data they need to run the office.
- Seamless check-ins: Robin checks in employees who use Brivo access control systems automatically when they enter the office.
- Accurate occupancy data: Admins see attendance in real time. This helps them understand how people use spaces and plan office layouts and resources.
