What’s new in Robin - April 2025

These Robin updates make hybrid work easier to manage, from planning to daily operations.

Workplace operations dashboard

Robin’s workplace operations dashboard shows everything you manage in your office in one view, so nothing gets missed.

Use the dashboard to:

  • See the health of your workplace at a glance.
  • Track devices, visitor activity, meeting services and delivery volume.
  • Find issues before they become urgent.

You do not need to switch between tabs or tools. From employee feedback to AV setup requests, workplace teams see and control everything in one place.

To open the dashboard, select your user profile image at the top right of your screen. Then select ‘Workplace Dashboard’ from the menu.

Availability: Available now for all admins.

The sections and actions you see depend on your user permissions.

Robin’s Analytics AI assistant [Early Access]

Admins use Robin to understand their office data. The Analytics AI assistant gives you answers in seconds, with no spreadsheet.

Use it to look into crowded anchor days or plan a move. It works like a workplace analyst on call 24/7. Ask a question, such as “Which rooms had the most cancellations in the past 30 days?”. The assistant gives you a formatted, filtered answer that you can share or act on.

With the assistant, you can:

  • Find usage trends across buildings, spaces and teams.
  • Find problems such as ghost meetings or no-show bookings.
  • Make decisions on facts, faster.

Availability: Early access for Advanced Analytics customers. If you do not use Advanced Analytics, contact your CSM to learn more.

Book parking spots and lockers [Early Access]

Robin supports parking spots and lockers that employees can reserve. Employees get more of the resources they need, and admins get more control over them.

This update includes:

  • Parking lots, garages and lockers as bookable resources.
  • Policies that limit each person to one desk and one parking spot per day.
  • Controls for overlapping bookings.
  • Groups, sub-categories and an updated UI that help users find what is available.
  • Booking from mobile and from the new interactive map (map beta required).

Other updates

This release also brings updates to meeting services, analytics, access control, space planning, permissions and attendance.

Meeting services in Robin and Outlook

You can manage meeting logistics more easily in Robin or directly in Outlook.

New in Outlook

Robin’s updated Outlook add-in helps you coordinate rooms without leaving your calendar.

  • Attendees can now propose space changes directly in Outlook. This makes it easier to coordinate changes for large or complex meetings.
  • See space responses at a glance. Busy, Accepted, Declined and other responses now show on the room card, so you do not need to hover or guess.

New in Robin

Meeting services are also easier to manage in Robin.

  • Attach files to meeting requests and generate PDFs automatically. Use them to share orders or create quick invoices.
  • Export single service tickets to send directly to vendors, even vendors that do not use Robin.

From scheduling to setup and support, Robin helps you coordinate every meeting, wherever you work.

Refreshed Robin analytics

Robin refreshed its analytics so that every customer can find and act on the data that matters most. You now see new dashboards, such as Desk Insights, Space Insights and Executive Insights. A cleaner layout makes navigation faster.

Robin also combined some dashboards to remove duplicates and updated the interface. Things may look different, but almost all of your data is still there.

For more flexibility, Advanced Analytics gives you:

  • Custom reports for your workplace questions.
  • Unlimited historical data (the standard is 90 days).
  • Drill-down from trends to details in seconds.
  • Scheduled reports and smart alerts for leadership.
  • Integration with your systems through the Analytics API.

Genea access control integration

You can now connect Genea to Robin to make check-ins easier. When employees swipe their badge at a Genea-controlled door, Robin checks them in automatically.

This makes your data more accurate and reduces manual check-ins, and your workplace stays secure.

Export and share move information

Admins can now export drafted assignment changes from Scenario Planning to coordinate with movers and facilities teams. The CSV export shows who moves, from where and to where, so these teams can use it even if they do not use Robin.

The CSV file includes Building, Floor, Employee name, Previous desk and New desk.

Updated Permissions page

The Permissions page now uses a table. This makes it easier to scan and find the permission settings you need.

On-site check-ins before the remote check-in window

When someone checks in on-site, for example with a badge swipe, Robin now checks them into their desk even before the remote check-in window opens. Robin records early arrivals correctly and still blocks remote check-ins from home.

Attendance tracking in “Who’s In”

Robin is improving how it shows attendance, starting with the Who’s In view on the home screen. In place of a basic checked-in status, you now see:

  • Confirmed on-site check-ins by badge or Wi-Fi
  • Remote check-ins where presence is not verified
  • Scheduled status for people who are expected in but have not checked in

The updated column is live for all users. More improvements are coming soon, including a new Roster page.
