What’s new in Robin - October 2025

This Robin release brings AI to workplace operations. Robin’s Scheduling Agent resolves calendar conflicts. Admin controls cut noise for users. Neighborhoods add structure to your floor plan.


Robin’s Scheduling Agent: an AI agent for workplace operations

Workplace teams know this problem: a VIP meeting starts in 20 minutes, and no room is free. The boardroom is double-booked. The other rooms are too small, too far away or do not have the right tech. Now multiply that by hundreds of meetings every week.

Workplace teams told Robin that they reschedule 400+ meetings by hand each week. That takes hours, and it does not scale.

Robin's Scheduling Agent understands your whole office and manages complex meeting schedules for you. Drag any meeting to any space. If there is a conflict, the agent immediately:

  • Finds the best other spaces for the displaced meetings.
  • Handles all the rescheduling.
  • Notifies the affected attendees.

A task that took 20+ minutes now takes under 30 seconds. The AI does the work itself, not only suggests it.

The agent is built for the people who keep offices running: workplace managers who fix space problems, executive assistants who handle many booking changes, and IT teams who want fewer tickets and better space usage.

The Scheduling Agent is available now in early access. More capabilities are coming soon, including meeting creation and an improved experience that keeps all actions in the sidebar.

Wayfinding with neighborhoods

With Neighborhoods, admins create color-coded groups of desks. The groups show on the map with labels, so people can find their team.

Teams see where they should sit, which makes it easier to work together. Neighborhoods do not restrict booking (yet). Use them for wayfinding, space planning and to understand how people use your office.

Robin converted existing Work Areas to Neighborhoods automatically. Manage them in the Assignments section. Kiosk support arrives soon.

Map updates

The new map gets features that make it easier to find your way around your office.

People list shows who works where

The "Who's In" view in the right sidebar shows each person's status at a glance: confirmed in the office (by badge or check-in), confirmed remote, or scheduled (expected but not checked in). Favorites show first in each group.

Select a name or avatar to go to that person's desk on the map. If someone has not booked a desk, you see "No desk".

All your reservations in one view

The Workweek view now shows every resource reservation you have. Desks, meeting rooms, parking spots, lockers and custom resources all show in the right sidebar of your Workweek schedule.

See resource details and reservation times. Select a resource name to go to it on the map and make changes.

Custom resources on the map

All custom resource icons now change with the zoom level and fit better in small spaces. The map now has filters for all custom resource types. If you have 3+ types, the filters are under "More".

Other map improvements

The map also gets these changes:

  • Support for employee experience surveys.
  • Hide all avatars on busy floors to reduce visual noise and loading time.
  • Change the dates of multi-day desk reservations without booking again.
  • Announcements and hybrid work policies show in the right sidebar.
  • On-site check-ins now work before the remote check-in window, for early arrivals.
  • Hover over points of interest to see POI labels.

Admin controls

New admin controls let you control from one place what users can change, which notifications they see and which integrations they can use.

Calendar event audit log

Use the calendar event audit log to troubleshoot meeting room conflicts and calendar sync problems. Filter by building, floor, time range or event ID.

Expand a log entry to see its metadata changes: what happened, when it happened and who made the change.

Notification management

Admins can now choose which notification types users can control. This cuts noise and keeps critical alerts on. Users see only the toggles for the notifications you turned on.

You can also manage Teams notifications directly in Robin, so you do not need to switch between platforms to set notification preferences.

Profile lockdown for SCIM customers

SCIM customers can now lock critical profile fields, email and password. Robin profiles then stay in sync with your system of record. Users cannot create differences that break your directory sync, by mistake or on purpose. This saves IT time and closes security gaps.

The security pages also no longer give end users the option to deactivate their account, so that control stays with admins.

Hide integrations you do not use

If your organization uses Microsoft, it does not need Slack integrations in the interface. Google Workspace users do not need Microsoft Teams options.

You can now hide integrations completely, so users see only the connections your organization uses. Turn off an integration before users try to connect it. This prevents shadow IT and keeps your tech stack clean.

Analytics AI Assistant for your office data

Advanced Analytics customers now have access to Robin's Analytics AI Assistant. Ask questions in plain language and get instant answers about your workplace data, such as space utilization or attendance trends.

Availability: Available now for Advanced Analytics customers supported by Robin’s US data center. EU data center support coming in Q4.


Same-day booking from room displays

Admins can now turn on same-day ad-hoc booking directly from room displays. People walk up to a room, book it and meet.

This update works on these displays:

  • iOS (v4.2.1-2)
  • Crestron (v4.2.0-7)
  • Logitech (v4.2.0-1)

This feature is off by default. To turn it on, see room display scheduling settings. Bookings stay anonymous and work the same as walk-up booking, but for same-day needs.

Visitor Management in Outlook

Robin's Microsoft 365 Outlook Add-In now includes full visitor management support. Register visitors, send invites and manage check-ins without leaving Outlook.

Prevent calendar sync failures with monitoring

Calendar health notifications tell admins when space calendars need attention:

  • Personal calendar health: In-app banners tell users when they need to reconnect their personal calendar integration.
  • Space calendar health: Admins with places:manage permissions get email alerts when meeting room calendars become unhealthy. This includes failed subscription attempts, sync failures, or 24+ hours without data.

After 30 days of unhealthy status and 10 days without updates, Robin turns off the calendar automatically to prevent system overload. You get a separate notification when this happens.

Collaborator permissions in Scenario Planning

Large floor plans need many people to draft them, but not many people to publish them. The new Collaborator role lets team leaders draft desk assignments but not publish them.

Use it when teams pick their own desks but workplace teams control the final publish. Collaborators can edit drafts, but only Editors can make changes live.


Mobile features for desk management

The Robin mobile app gets these desk features:

  • Release assigned desks on the go: If a user does not need their assigned desk, they can release it from mobile so someone else can use it. Release it from the map view, the reservation card or the schedule modal when Desk Sharing is turned on.
  • Map context for reservations: Upcoming reservations now include a small map that shows where the user needs to go next.
  • Better desk suggestions: If you do not like Robin’s first desk suggestion, get new suggestions to find a better desk.
