These Robin updates from the past quarter help hybrid work run better, from Outlook to space management.
Meeting Services in the Outlook add-in
Robin's Outlook add-in now supports Meeting Services.
This update brings these changes:
- Request services directly in Outlook: When users create events in spaces with services turned on, they can add catering, AV support, room setup and more without leaving their calendar.
- Attendee collaboration: Meeting attendees can propose space changes directly in Outlook. This makes complex meetings easier to coordinate.
- Clear status visibility: Room responses (Busy, Accepted, Declined) now show directly on space cards, so you do not need to hover or guess.
Important note for admins
Outlook admins at your organization get a prompt to update permissions. Accept it to turn on Meeting Services and other new features. If your organization does not use Meeting Services, accept the permissions request anyway to get the general improvements to the add-in.
Availability: Available now for all customers.
Custom resources: book anything your office needs
Robin now supports booking any resource your office needs, from parking spots and lockers to lab equipment and beds for pets. Pet beds were one of the most requested uses for custom resources.
Custom resources
With custom resources, you can:
- Create any bookable resource from the layout tool, with custom names, details and policies.
- Set booking policies, such as maximum reservation lengths and working hours restrictions.
- Admin controls: Local office admins can book, assign and bypass policies, the same as for desks and spaces.
- Mobile support: Book and manage all custom resources from the Robin mobile app.
Parking and lockers
Parking and locker booking gets these improvements:
- Multi-day and range bookings.
- Accessibility indicators for handicapped accessible spots.
- Better booking flows with policy warnings.
- Edit reservations directly from the Robin mobile app, without canceling and booking again.
Availability: Contact your CSM to join the beta.
Visitor Management updates
Visitor Management has major improvements for large organizations that manage dozens of locations and hundreds of visitors each day.
- Enhanced search and filtering: Find visitors quickly by guest name, host, visit type or status.
- Streamlined check-in: Check in visitors directly from the dashboard or from the visitor creation screen. You do not need to go back to the visits table, which helps with walk-ins.
- Improved badge printing: Print visitor badges directly from the dashboard, with support for more printers.
- Visit editing: Update key details, such as date and time, host and custom fields, when plans change.
- Location-specific visit types: Create visit types for specific locations instead of for the whole organization.
- Flexible guest registration: Visitor Management admins can skip the email requirement when they register guests directly in the dashboard.
Availability: Available now for all Visitor Management customers.
Calendar Health Dashboard
The Calendar Health Dashboard shows the status of your whole calendar system. You do not need to check each space to find the calendars that need attention.
With the dashboard, you can:
- See all calendar statuses in one view.
- Spot issues quickly with clear health indicators.
- Trigger manual syncs with one click.
- Debug problems before they affect users.
It helps organizations with many spaces keep their calendar system healthy.
Availability: Available now for all customers. Find it under Manage > Calendars or in the Workplace Dashboard. To learn more, see Monitor all space calendars in one dashboard.
Daily Roster and attendance tracking
Robin improved how it shows attendance, starting with a redesigned Daily Roster. The Daily Roster is now easier to open and shows more information.
This update brings these changes:
- Clearer check-in statuses: See the difference between remote, on-site and scheduled attendance.
- Department insights: View and search employees by department.
- Clickable details: Names and desk assignments now link directly to employee profiles and desk locations.
- Real-time stats: See planned and actual attendance at a glance.
- Faster access: Find the Daily Roster directly under the Manage tab.
Availability: Available now for all customers. To learn more, see Daily roster upgrade.
Other updates
This release also brings these updates across Robin.
Meeting Services improvements
- Service category management: Edit and delete top-level service categories to keep service menus organized and up to date. This helps larger organizations most.
- Enhanced CSV exports: Service ticket exports now put menu items and subtotals in separate cells. This makes itemized orders and financial tracking easier.
- Individual ticket exports: Export single service tickets as PDFs and CSVs directly from the ticket slider to coordinate with vendors.
Mobile app updates
- Manual check-in capability: Employees can now check in to desks, parking spots and lockers manually from the Robin mobile app when remote check-in is turned on.
- Complete Microsoft SSO support: Updated authentication now supports all three Microsoft integration types (Graph, SSO, SAML).
- Consistent Who's In experience: The mobile app now uses the same Who's In design as the web app, with detailed check-in status for each employee.
Office experience improvements
- Back-to-back check-ins: Robin checks users in automatically to back-to-back meetings in the same conference room, so they do not check in again.
- Streamlined desk assignments: When you assign a user to a new desk, Robin removes their previous desk assignment automatically.
- Custom activity branding: Activity creators can now upload custom images for events to show company culture and event branding.
- Enhanced campus navigation: The new map experience groups buildings by campus, with better search and clearer location context.
Navigation improvements
Redesigned Manage tab sidebar: Robin cleaned up and reorganized the sidebar navigation, with better styling and logical groups of menu items. Key features are easier to reach.
Access control updates
Self-service setup makes it faster to connect Genetec and Gallagher to Robin. For setup details, see Genetec access control integration and Gallagher access control integration.
When you connect your access control system to Robin, your data is more accurate because people check in manually less often, and your workplace stays secure. See all access control integrations.
New Office Map Beta
As of May 30, admins have beta access to Robin's rebuilt Office Map. This faster base will host all future feature launches. Features such as Activities and Space Suggestions will roll out to the new map in the coming months.
