A room display is a tablet mounted outside a meeting room that shows the room's schedule right at the door. It answers the question everyone asks in a hallway: is this room free right now? People can see availability at a glance, book on the spot and check in to hold the room, all powered by Robin's companion app, Rooms.

This step assumes you have already set up your spaces and connected room calendars in Step 4. If you have not, do that first, since a display needs a scheduled space to show.

What you need

  • A tablet for each room, such as an iPad, kept on power outside the door
  • The space already created and paired with a room calendar

Set it up

  1. Download the Robin Rooms app on each tablet from its app store.
  2. Open the app and pair the display with its space. Robin shows a pairing code to connect the device to the right room.
  3. Choose which control buttons appear on the display. Common picks: book the room on the spot, start an impromptu meeting, end a meeting early and book by scanning a QR code from a phone (on by default). 
  4. (Optional) Turn on abandoned meeting protection so a room frees up automatically if no one checks in.

Pro tip: enable your tablet's stay awake or guided access mode so the display stays on and locked to the Rooms app.

Ready to proceed

Once a display shows the room's live schedule and you can book from it, that room is set. Repeat for each room you want covered.

When you are ready for more

You can brand displays with your logo and background, hide meeting details for privacy and set efficient end times to cut dead time between meetings. None of these are required to start.
